Statement of intent, responsibilities and arrangements
1. Statement of intent
Vitalex Ltd is committed to providing and maintaining a safe and healthy working environment for its employees and for anyone else affected by its activities, including visitors and the people we work alongside on customer premises. We regard the management of health and safety as an integral part of running the business, and we comply with the Health and Safety at Work etc. Act 1974 and all relevant regulations.
So far as is reasonably practicable, we will assess and control risks, provide safe systems of work, provide information, instruction and training, consult our team on health and safety, and review this policy regularly.
Signed by Reece Stevenson, Chief Executive Officer, for and on behalf of Vitalex Ltd, on 9 September 2026.
2. Responsibilities
| Who | Responsible for |
|---|---|
| The Board | Overall responsibility for health and safety, and for providing the resources to manage it. |
| Managing Director | Day-to-day implementation of this policy, ensuring risk assessments are carried out and acted on, and keeping the policy under review. |
| Everyone | Taking reasonable care of their own and others’ safety, following safe systems of work, using equipment properly, and reporting hazards, incidents and near misses. |
3. Arrangements
The arrangements below reflect an office-based and field-based medical consumables distribution business.
3.1 Risk assessment
We carry out and record suitable risk assessments of our activities, and review them when circumstances change or after an incident.
3.2 Display screen equipment and the office
We assess workstations for those who use display screen equipment and take reasonable steps to maintain a safe office environment, including housekeeping, electrical safety and fire precautions.
3.3 Fire and first aid
We maintain appropriate fire precautions and means of escape, and provide first-aid arrangements proportionate to our size and premises.
3.4 Driving and working on customer sites
Team members who drive for work or attend hospital, clinic, dental or veterinary sites must hold appropriate licences and insurance, drive safely and lawfully, and follow the health and safety, infection-control and access rules of the site they are visiting. Where a visit involves entering a clinical or theatre environment, the host organisation’s rules take precedence over ours.
3.5 Manual handling and stock
Where any goods are handled, moved or stored, we assess and control manual-handling and storage risks, including the weight and configuration of procedure pack cartons and the storage conditions required to preserve the sterile barrier.
3.6 Lone working
Field-based colleagues frequently work alone. We maintain proportionate arrangements for knowing where colleagues are expected to be, and for raising the alarm if contact is lost.
3.7 Accidents and reporting
We record accidents and near misses, and report those that are reportable under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013.
4. Review
This policy is reviewed at least annually and whenever there is a significant change to our activities, our headcount or the law.
